Team & Permissions

Great businesses aren’t built solo. The Team module lets you invite accountants, sales staff, and warehouse managers into your workspace — securely.

Instead of sharing a single password (a security headache waiting to happen), everyone gets their own login. You control exactly what each person can — and can’t — see.

Navigate to General Settings > Team to manage your team.


1. Managing Active Members

The Active Members tab is your digital staff roster — everyone who currently has access to your company data.

Viewing Your Team

The dashboard gives you a quick snapshot:

  • Name & Email: Identifies each user (e.g., srestaswrnm@gmail.com).
  • Role: Shows their permission level (e.g., ADMIN, WAREHOUSE MANAGER).

Inviting a New Member

Need to bring someone onboard?

  1. Click Invite New Member.
  2. Enter their email address.
  3. Select a Role to define what they can access from Day 1.

Editing & Removing Access

People change roles, and sometimes they move on.

  • Edit Role: Click the Edit Icon (pencil) next to a user. Instantly switch someone from ADMIN to a more restricted role if needed.
  • Remove User: Click the Delete Icon (trash can). A confirmation will ask: “Are you sure? This process cannot be undone.” Click Delete to permanently revoke their access.

2. Roles & Permissions (Access Control)

Security isn’t just about passwords — it’s about who can do what. The Roles tab lets you define exact “job descriptions” for your software users.

System vs. Custom Roles

  • System Role (Checkmark Icon): Built-in roles like ADMIN — full access, can’t be modified.
  • Custom Role (X Icon): Roles you created (like WAREHOUSE MANAGER) — fully editable and deletable.

Creating a New Role

Want a “Sales Intern” who can create invoices but can’t see your bank balance?

  1. Click Add Role.
  2. Name: Give it a clear title (e.g., “Junior Accountant”).
  3. Define Permissions: The system presents a checklist for every module (Dashboard, Expenses, Transactions, Items).
    • View: Can they see this data?
    • Create/Edit: Can they add or modify records?
    • Example: Check Items > View but uncheck Total Payables > View to keep financial data private.
  4. Click Add to save the role.

Updating an Existing Role

Realized your Warehouse Manager needs to see Purchase Orders?

  • Click the role name (e.g., WAREHOUSE MANAGER).
  • Check the box for the new permission.
  • Click Update. Every user with this role inherits the change instantly.

3. Invited Members

Sometimes invitations get lost in spam folders. The Invited Members tab tracks pending invitations that haven’t been accepted yet.

  • Status Check: If the list is empty (“No data”), it means all invites have been accepted — or no one is currently pending.
  • Action: If an invite has been stuck here for a while, consider resending it or double-checking the email address.

Security Best Practice: Follow the Principle of Least Privilege — only give users the minimum access they need to do their job. You can always upgrade their role later.
